Breaking Barriers: How Creative27 Mastered Communication Challenges with a Dubai-Based Client

At Creative27, our mission to deliver exceptional digital products is coupled with an unwavering commitment to effective communication. This commitment was put to the test when we took on the challenge of designing and developing a social mobile app for a client based in Dubai. Despite the client’s native language not being English, significant time-zone differences, and cultural variations, we successfully navigated these barriers, culminating in the app ranking number 4 in Dubai.

The Challenge

The communication obstacles we faced were threefold:

1. Language Barrier: The client’s primary language was not English, leading to potential misunderstandings and misinterpretations.

2. Time Difference: The substantial time-zone gap between Dubai and our Los Angeles headquarters posed logistical challenges for real-time communication.

3. Cultural Differences: Navigating cultural nuances required sensitivity and adaptability to ensure alignment in expectations and project outcomes.

Our Approach

Recognizing these challenges early on was crucial. With a history of collaborating with international clients, we knew that setting up the proper measures, frameworks, and systems before commencing the project was essential. Here’s how we tackled each challenge:

1. Establishing Robust Communication Channels

Asynchronous and Synchronous Communication:

We understood that relying solely on real-time communication could be problematic due to the time difference and language barriers. Therefore, we implemented a blend of asynchronous and synchronous communication methods:

  • Asynchronous Communication: This included emails, detailed project updates, and task management through Heycollab. By allowing the client to review updates and provide feedback at their convenience, we minimized the pressure of aligning schedules.
  • Synchronous Communication: Weekly video calls were scheduled to discuss project milestones, address concerns, and ensure alignment. These calls were carefully timed to accommodate the client’s working hours, striking a balance that respected both parties’ schedules.

Weekly Sprints and Clear Timelines:

Our project was divided into weekly sprints, a technique borrowed from Agile methodologies, which ensured regular progress checks and constant feedback loops:

  • Sprint Planning: Each week began with a sprint planning session where tasks were assigned, priorities set, and timelines established.
  • Visibility and Transparency: The client had access to the sprint plans and could see what the team was working on, as well as the expected completion dates for specific tasks. This transparency built trust and kept the client engaged and informed throughout the project lifecycle.

2. Leveraging Technology

Heycollab:

To address communication and project management needs, we utilized Heycollab, our internally developed tool designed for seamless collaboration. Heycollab provided several key features:

  • Centralized Communication: All project-related discussions, files, and updates were housed in one platform, reducing the risk of miscommunication and lost information.
  • Task Management: Heycollab’s task management capabilities allowed both our team and the client to track progress, assign tasks, and set deadlines with clarity and precision.
  • Document Sharing and Version Control: Important documents and designs were shared within Heycollab, ensuring that everyone had access to the latest versions and could track changes over time.

Recorded Weekly Calls:

Understanding the challenges posed by time-zone differences and busy schedules, we recorded all weekly calls. These recordings were then uploaded to Heycollab, ensuring that anyone who couldn’t attend live could still stay informed:

  • Detailed Meeting Notes: Alongside the recordings, we provided detailed notes and action items from each meeting, highlighting key decisions and next steps.
  • Accessibility: This approach ensured that all stakeholders had access to critical information, regardless of their ability to participate in real-time discussions.

3. Dedicated Project Management

Accessible Project Manager:

A dedicated project manager (PM) was assigned to this project, serving as the primary point of contact for the client. The PM’s responsibilities included:

  • Daily Availability: The PM made themselves available for queries and updates throughout the week, providing quick responses to any questions or concerns the client might have.
  • Consistent Updates: Regular updates on project progress were provided, ensuring that the client always felt connected and informed.
  • Cultural Sensitivity: Our PM was trained to understand and respect cultural differences, ensuring that communication was both effective and respectful.

4. Quality Assurance

Internal QA Before Client Review:

We placed a strong emphasis on internal quality assurance (QA) to ensure that the client always received a polished product:

  • Rigorous Testing: Before any deliverable was presented to the client, it underwent thorough internal testing to identify and fix any issues.
  • Detailed QA Reports: We provided detailed QA reports highlighting what was tested, any issues found, and how they were addressed.
  • Client Review: Only after our internal team was satisfied with the quality did we present the deliverables to the client, ensuring they had a seamless and positive experience.

5. Post-Launch Support

6-Month Complimentary Support:

We believe in standing behind our work, which is why we offer six months of complimentary support for all services rendered:

  • Ongoing Maintenance: This includes regular maintenance, updates, and troubleshooting to ensure the app continues to perform optimally.
  • Client Training: We provide training sessions to help the client’s team become proficient in using and maintaining the app.
  • Feedback Loop: The support period also serves as an extended feedback loop, allowing us to gather insights and make improvements based on the client’s experience and user feedback.

Lessons Learned and Improvements

This project underscored the importance of having all necessary tools to manage projects, teams, and clients in one place. The insights gained led to further enhancements in Heycollab, which now features:

  • Integrated Project Management Tools: Allowing for better tracking and transparency.
  • Enhanced Communication Features: Improving clarity and reducing the risk of miscommunication.
  • Cultural Sensitivity Training: Equipping our team with the skills to navigate cultural differences more effectively.

Our experience with the Dubai-based client reinforced the value of meticulous planning and robust communication frameworks. By leveraging Heycollab and fostering an environment of transparency and accessibility, we not only overcame the initial challenges but also set a new standard for how we manage international projects.
